Installing QBDSM for each version ensures that all users can work together efficiently, as it creates a network data file (.ND) that allows for smooth access to company files stored on the host computer. Install QuickBooks Database Server Manager

  • First, ensure you have the setup file ready.
  • Close QuickBooks.
  • Launch the installation file you downloaded (Setup_QuickBooks.exe).
  • Follow the on-screen prompts and have your product or license numbers handy.
  • Select your installation type: choose either “Custom” or “Network Options.”
  • Click “Next” and refrain from selecting “Express.”

Note: This option will replace your existing version of QuickBooks Desktop.

  • Select the suitable option and click “Next.” Both selections will lead to the installation of the Database Server Manager.
  • If you intend to use both the Database Server Manager and QuickBooks Desktop on the same server, choose:

“I’ll be using QuickBooks Desktop on this computer, AND I’ll be storing our company file here so it can be shared over our network.” 

  • If you only require the Database Server Manager, choose:
  • “I will NOT be using QuickBooks Desktop on this computer.”
  • Proceed with the remaining on-screen instructions and click “Install” when you’re ready.
  • Note: QuickBooks creates a new Windows user account for each version of the Database Server Manager. For example, Database Server Manager 2023 will be designated as QBDataServiceUser33.
  • Make sure to grant the QBDataServiceUserXX (where XX represents the user number) the necessary permissions to access the folders that contain your company files.

Use Database Server Manager

Access the QuickBooks Database Server Manager

  • Close QuickBooks Desktop.
  • Download the QB Tools Hub.
  • Double-click the downloaded file named QuickBooksToolHub.exe.
  • Follow the on-screen instructions.
  • Accept the terms and conditions.
  • Click Next
  • Select Install to proceed with the installation.
  • After the installation, double-click the icon to open the Tools Hub.
  • Navigate to the Network Issues tab.
  • Select QuickBooks Database Server Manager.

Scan the Directories

  • Open the Windows Start menu.
  • Type "Database" into the search box.
  • Select QuickBooks Database Server Manager.
  • Go to the Scan Folders tab. If you're using Database Server Manager 2019, this will share all folders; you may need to adjust folder permissions for specific users.
  • Click on the Browse option to choose the folders that contain your company files.
  • Click OK to confirm your selections.
  • Finally, click the Start Scan button.
